How to manage time better? How to maximize time availability?

 


Well, people always talk about time management, even in our academic years and also in career we are always taught about time management.

But have you ever thought that can time be really managed?... By thinking deeply about this you'll realize time just goes by and cannot be managed as you can only manage things on which you can have control but on time we don't have any control.



Whatever the situation will be, time just keeps walking its own path with its own speed so I have learnt time actually can't be managed. 

But the best thing related to time is that it can be utilized properly to bring productivity in our lives. 

  


We all have the same amount of time available to us in a day and to utilize that time properly and productively is called time maximization that is full optimization of time to reach our goals or for improvement of self and others. 

So let me share with you what I have learnt about how we can maximize our productiveness with the best usage of time and walk with it. 

  

 

‍ Try to complete the next day’s task, the night before. 

 

For example, if you to prepare next day’s lunch, cut vegetables night before and to go for an event or office take out your next day's outfit night before. It will save a lot of time and will make your tomorrow hassle free and less stressful. This will bring more flexibility to you on your present day because you'll have more time left for you to do certain tasks perfectly as you desire. 

 

 

Make to-do-list in the morning. 

 

Write every task you have to or wish to complete during the day in that list. Right everything that is every small detail. Then right "urgent" in front of top 3 tasks with a different color pen or just color it to highlight it. For this purpose you call also use a simple to do application too. 

So after marking it start completing all those tasks. For on one task at a time and stay relaxed don't panic that you have to do a lot. Just focus on the task in hand.


Complete it and cut it from your list then mark the next 3 urgent tasks and follow the same process to complete it. If there is something which is not that urgent or important then don't do it presently and give you time to relax. All this will not only save your time but it will also help you to make things done.

 

 

Have a proper morning and night routine. 

 

This will help you save time, organize tasks and will also help you stay healthy. It's about using time to organize your morning and night tasks which are important to you and necessary too to do regularly. Having a habit of following morning and night time routines brings efficiency in your other activities which are essential for you to carry on a daily basis. 

  

Don't waste time focusing on something for excess period of time as it will be a time waste as you will be spending unnecessary time or excess time on something where it's of no use to spend that much time on that task. 

 

For example, you have to prepare breakfast for yourself or for your kids and you're spending time to decorate that plate of breakfast excessively on a busy working day, by doing so you will waste lot of time on it and will become late to go to office or to do the next important activity you have to do. So keep everything simple, minimal and sufficient.

 

  

Try to delegate work.

 

Give the tasks which you think someone else can perform too. This will save your time and then you can focus on priorities. 

 

 

Use a weekly planner.

 

Weekly planner lets you record what you need to do in the coming week keeping in mind the tasks which are important and urgent. It's just like making plan to what to achieve in during the week and taking small steps towards it which will gradually lead to attainment of your long-term or big goal. 

 

 

Set deadlines bit early so that you complete the task in hand on time. 

 

What I do is I set my wrist watch 10 minutes early so that I don't reach anywhere late or don't spend too much time on anything.

  

 

Keep yourself relaxed and take breaks meanwhile as if you'll start getting exhausted and panic about doing a task on time then you will spend more time on it. Where it take 15-20 minutes to clean your desk, while being exhaust it will take an hour so it's better to take mini breaks in between and relax. This will save time and will also save you from falling sick.

 

 

Use daily Schedule. Keep time slot for every activity of task you have to do that day and try to complete it in it. But also keep the schedule flexible for any urgent task to do.

  

 

Don't push yourself too much to meet the deadlines. 

 

Sometimes when you try too much to complete a task but you couldn't complete it that day even putting your 100% efforts, it can be good too you never know what God's plan is for you. So anyhow taking too much stress is no way a good way to manage time. Stay relaxed, mindful and don't try to multi task.

 

 

Do smart work with hard work.

 

Combination of hard work with smart work is the best. It means you are working hard but smartly. When you save time and use quick and effective way to do a certain task it means you're working hard smartly.

 


For example, if you want to write an article, you'll first write a rough article on paper, then will type it on your computer then make the corrections and then finally publish it. But if you try to do the same task differently, i.e. write the article using an auto-correcting app and then publish it, you will realize that you made it so easy and quick for you with the help of technology. You have maximized time and achieved your goal too. So this is how you completed the same work smartly.
